What's new in Pika Instafile: August 2025 edition

Pika team here, and we're excited to begin bringing you more regular updates on product enhancements, improvements, and new feature announcements. Keep reading for a snapshot of all the new ways you can make use of our Instafile dashboard:

@ mentions and notifications
We're making it easier than ever to stay in touch with the Pika team to get rebate applications unblocked and filed! Now, our enhanced commenting features allow you to receive timely requests, respond with ease, and close the loop.
Here's how it works:
When in the Pika dashboard, you can create a comment and @ mention any other app user. This could be a colleague from your own business, or a member of the Pika team.
When a user is @ mentioned, they are notified in 2 ways:
- Via email
- In app, via the bell icon at the top of the screen
Users can reply to notifications with both text and attachments (e.g. photos, commissioning forms, etc). They can do this in two ways:
- Directly reply to email notifications from their email inbox
- Click the notification in-app, and then reply in the dialog that pops up on screen.
Mentions for other users are in blue. Scan the table for gold to find places where someone is trying to get your attention.
When you send an @ mention, you will automatically be notified of any replies, even if the responder doesn't @ mention you back -- so no worries; you won't miss any replies!
If you're primarily operating out of your email and not logging into Pika, that's ok. Reply directly to Pika's email notifications, and both the text and attachments will be automatically uploaded on your behalf.

Notifications inbox
When you click "View all notifications" at the bottom of the notifications tab, a full inbox opens up where you can view all comments and mentions in one place — and respond to things easily!
Design updates and smaller enhancements
Enhanced functionality around program enrollment: you can now directly add and remove programs from the Pika dashboard, to ensure we're filing across all programs you offer.
- Interested in enrolling in more programs but need support? Don't hesitate to reach out! Our team is here to help.
Real-time updates to job details: You can now directly refresh job details to get the latest data. You can also refresh to grab any new attachments that have been uploaded to your Titan instance.
Visual enhancements to improve navigation and usability: Thank you to everyone who has reached out and shared feedback about the Pika app! We've made a series of changes, particularly to the applications table and details modal, to make the product easier to navigate and more delightful.
Reliability and performance
We're committed to building a secure, reliable tool that meets the high standard of our customers. This month, we invested in error handling, logging, and data loading to ensure that we're pulling in accurate, timeline data, and also being notified the moment anything looks fishy. We've also continued to invest in our integration with ServiceTitan and Housecall Pro, to ensure we're accounting for all the critical data your teams compile.
